What type of personal data we handle?

Caravel Press and its affiliated publishing platforms (including our journal, book, conference, and repository systems) process personal data in four main categories: Website user data, Author data, Reviewer data, and Editor data.

The minimum personal data we store include:

Optional information that users may choose to provide includes:

What do we do to keep that data secure?

We take the security of your personal data seriously. Our databases are regularly backed up and hosted securely on Google Cloud, a trusted and industry-standard service provider. Backups are routinely rotated, and outdated data is permanently deleted.

Caravel Press maintains a strict internal data handling policy that limits access to personal data and backups to authorized personnel only. In the unlikely event of a data breach, we will notify affected users and relevant journal or press contacts within 72 hours, in accordance with data protection best practices.

How do we use the data?

Personal information is used solely to deliver and manage the publishing services provided by Caravel Press. We do not share personal data externally except where it is necessary for publication and scholarly communication purposes, for example, author names, affiliations, email addresses, and links to ORCID or social media accounts (if provided) that appear in published articles, books, or conference materials. These details may also be shared externally with academic indexes and databases.

If a journal operates under an open peer review model, reviewer names and related details may be published alongside their reviews, in line with the journal’s review policy.

1. When using the website

1.1 What data we collect

When you use our websites, we may collect or interact with your data in the following ways:

  • We collect anonymised information about your use of the website, such as pages viewed, files downloaded, browser and device type, and the time and date of access.
  • This data helps us improve usability, monitor performance, and enhance your overall experience.
  • We do not collect any personal data through comments, annotations, or third-party plugins.

1.2 Why we collect the data

  • We use anonymised website usage data to monitor traffic, fix bugs, and identify patterns that guide future improvements to our websites.
  • This data also allows us to provide reports on how often publications are accessed from different IP ranges.

1.3 What we do (and don’t do) with the data

  • We do not collect personal information that can be used to identify you when you browse the website.
  • We use Google Analytics to generate publication reports and improve the website and services through traffic analysis.
  • No personally identifiable information is shared with Google. Your computer’s IP address is anonymised before transmission.

2. When registering as an author, and submitting an article or book

2.1 What data we collect

  • When registering an account, we ask you to provide certain personal information such as your full name and email address.
  • You may also choose to register using your ORCID iD, which can automatically populate parts of the registration form.
  • When submitting an article or book for publication, you will be asked to provide personally identifying information used for editorial management and peer review.
  • This information may include your affiliation, competing interests, and acknowledgements, which will be published as part of your work.

2.2 Why we collect the data

  • Registering an account allows you to log in, manage your profile, and participate as an author, reviewer, or editor.
  • We use cookies and session information to streamline your experience — for example, to keep you logged in when you return to a journal or press platform.
  • You can block or delete cookies and still use the websites, though you will need to re-enter your login details each time.
  • To access certain features, you may choose to provide additional personal information such as your ORCID iD. Supplying this information is entirely voluntary.
  • Personal data submitted with an article or book is collected to ensure adherence to publication ethics during peer review.
  • This information forms part of the official publication record, establishing the provenance of the work and ensuring proper attribution to its authors.

2.3 What we do (and don’t do) with the data

  • We do not share your personal information with third parties except where it is necessary to provide our publishing services.
  • As a registered author, you may be contacted by a journal editor or press representative to invite further submissions or to discuss your published work.
  • Books published through our platform are freely available to download in PDF format from the Caravel Press website.
  • Articles published on our platform are also freely available to download in various formats (such as PDF or XML).
  • Personal data accompanying an article or book, including author names, affiliations, and email addresses, is published alongside the work, as provided by the submitting author.
  • Caravel Press works with trusted third-party providers for typesetting and production services. These partners receive only the data necessary to prepare and proof the final publication and are contractually required to use personal data solely for these purposes.

2.5 What to do if you want to get a copy of your data, or want your data to be removed

  • You can view, update, or remove the personal data associated with your profile at any time.
  • If you wish to completely delete your account, please contact us at info@caravelpress.com, and we will respond to your request as soon as possible.
  • To maintain publication ethics and best practices, any personal data published alongside an article or book cannot be removed, as it forms part of the permanent scholarly record.
  • If you have a query regarding a publication to which you are attributed, please contact info@caravelpress.com.

3. When registering as a reviewer

3.1 What data we collect

  • To become a reviewer, you must first register as a user on the website and indicate that you would like to be considered as a reviewer. No additional personal data is collected when a registered user elects to become a reviewer.
  • When registering an account, we ask you to provide certain personal information such as your name and email address. You may also choose to register using your ORCID iD, which can automatically populate parts of the registration form.
  • Reviewers may also be registered by editors who invite them to review a specific article or book. This requires the editor to provide the reviewer’s first name, last name, and email address, typically as part of the review invitation process.
  • When submitting a review, reviewers are asked to include a competing interest statement, respond to questions about the quality of the submission, and provide their recommendation.

3.2 Why we collect the data

  • The data provided is used to invite reviewers to participate in the peer review of an article or book, and to communicate with them throughout the review process.
  • When you submit a review, the details of your review, including your recommendation, responses to review forms, free-form comments, competing interests statement, and any cover letter, are recorded within the system.

3.3 What we do (and don’t do) with the data

  • Review data is not shared publicly and is accessible only to the Editor and authorised system administrators of the relevant journal or press.
  • The data is used solely in connection with that specific journal or press and will not be shared externally.
  • Data retained after the final decision is kept in accordance with publication ethics and best practice, to provide evidence of peer review and to resolve any potential disputes related to the review process.
  • For journals or presses that publish peer reviews, you will be asked to give explicit consent before your review is made public. In such cases, only a subset of your submitted data will form part of the published record.

3.4 What to do if you want to get a copy of your data, or want your data to be removed

  • If you no longer wish to be registered as a reviewer, you can edit your profile and select the option “Stop being a reviewer.” This will remove you from the reviewer database. However, any reviews you have already completed will remain as part of the editorial record.
  • If you have been contacted by an editor to peer review an article or book, this means your information has been registered in the system for that purpose. If you do not wish to be contacted for peer review, you can reply to the invitation email and request that your data be deleted.

4. When being registered as a co-author

4.1 What data we collect

  • Co-author data is entered by the submitting author, who must already have a registered user account.
  • In accordance with standard publishing practice, the submitting author is responsible for obtaining consent from all co-authors to be included in the submission — including consent for their personal data to be processed and published as part of the article or book.
  • The minimum personal data requested for co-authors include first name, last name, institution, country, and email address.
  • Additional optional information may include ORCID iD, title, middle name, biographical statement, department, X (formerly Twitter) handle, or LinkedIn profile name.

4.2 Why we collect the data

  • If an article or book is accepted for publication, this data forms part of the official published record to establish the provenance of the work and ensure proper attribution.
  • Author names, affiliations, and email addresses are required for publication and become part of the permanent scholarly record.

4.3 What we do (and don’t do) with the data

  • Co-author personal data is stored in the author database and used only in connection with the publication of the associated article or book.
  • Any co-author data collected is linked solely to the work it accompanies and is not used for any other purpose.

4.4 What to do if you want to get a copy of your data, or want your data to be removed

  • To request a copy of your data, please contact info@caravelpress.com.
  • In accordance with publication ethics and best practices, any personal data published alongside an article or book cannot be removed.
  • If you have a query about a publication to which you are attributed, please contact info@caravelpress.com.

5. When signing up to receive newsletters

5.1 What data we collect

  • We require your name and email address.

5.2 Why we collect and store the data, and for how long

  • This data is collected to keep you updated with news about our publications, platform, or specific journals.
  • Your data is retained only as long as you remain subscribed to the newsletter.

5.3 What we do (and don’t do) with the data

  • Your data is used solely for sending newsletters and updates you have chosen to receive.
  • We do not share your data with third parties or use it for any other purpose.

5.4 What to do if you want to get a copy of your data or want your data to be removed

  • All newsletter emails include an unsubscribe link, which you can use to remove your data from the mailing list at any time.
  • You may also contact info@caravelpress.com to request a copy of your data or have it deleted.

Notification about change of ownership or control of data

We may, from time to time, buy or sell assets or enter into partnerships. In the event that control of data changes to or from Caravel Press and a third party, or if ownership of Caravel Press or part of its business is transferred, we will make every effort to notify all affected users and provide clear options regarding their personal data.

Article Processing Charges (APCs) vary based on journal scope, article length, and production requirements. Fee structures are reviewed periodically and may be adjusted without prior notice. Caravel Press endeavours to maintain APCs at the lowest sustainable level through institutional and partner support. Publication timelines, including peer review duration and editorial processing, may vary across journals. Caravel Press does not guarantee specific review or publication dates. All content published by Caravel Press is made available under Creative Commons open access licenses. License terms vary by publication and are displayed on each article or book record. Metadata, Digital Object Identifiers (DOIs), and citation data are supplied through Crossref to ensure reliable indexing and reference integrity. Caravel Press is not responsible for delays or errors arising from third-party indexing services.

Inclusion in external databases such as Scopus, Web of Science, DOAJ, or similar services is determined independently by those organizations. Caravel Press cannot guarantee indexing or impact metrics for any individual publication.

All policies, pricing, and publishing terms are subject to change to reflect updates in industry standards, technical infrastructure, or partner requirements. The latest information is published on the Caravel Press website.

Caravel Press reserves the right to modify, suspend, or discontinue any service at its sole discretion, in accordance with applicable laws and publishing best practices.
